Using RootsMagic 11's Prompt Builder with Zotero

RootsMagic 11’s AI Prompt Builder is perfect for Zotero users because you can have RM11 assemble the person/family data, then ask AI to compare it to your Zotero research log or Zotero‑based sources. Below are ready‑to‑paste prompt examples you can save inside RM11.youtube+1rootsmagic+1

How to set these up inside RootsMagic 11

  • Open any person, then open the AI Prompt Builder from the AI menu or person tools.

  • Choose to create a free-form prompt, then paste one of the prompt texts below into the editor.

  • In the options, decide whether to include that person’s events/relatives or leave the prompt generic.

  • Save with adistinctive  name  then reuse it for any person or fact by selecting the prompt and clicking Copy.

Below are 5 ready to use example prompts for you to use.

  1.  Compare Zotero research log to RM11 facts

  2. Use Zotero item to draft a RootsMagic source/citation.

  3. AI extraction from Zotero‑linked image into RM11 event(s)

  4. Life summary from RM11 plus Zotero‑based context

  5. RM–Zotero sync checklist prompt

Use this procedure for each of the examples

Once you've set up the RM side and built the prompt, edit the RM prompt by DELETING everything up to  # Context. Then copy and paste the prompt you wish to use BEFORE # Context. Besure to name and save prompt so you can re-use it.

Examples

1. Compare Zotero research log to RM11 facts

Use this when you’ve exported a Zotero report or log for one person and want to compare your RM data to your Zotero data on one person.

<prompt>

# Role and Objective

- You are a Professional Genealogist and research workflow consultant. I will provide two blocks of information. 1) A structured summary of one person and close relatives generated from RootsMagic 11 (names, dates, places, and events). 2) A research log exported from Zotero for the same person, including items, notes, and conclusions

Your task is
1)  to compare RootsMagic event to the Zotero Research log.
2) Identify any events, dates, places, or relationships that appear in Zotero but not yet in RootsMagic.
3) Flag any conflicts where Zotero and RootsMagic disagree.
4) List missing or conflicting data in a simple checklist I can use to update RootsMagic.

# Instructions

- Do not invent any facts; if something is unclear, say ""uncertain” and explain why.  Use only objective details provided, without introducing subjective descriptions, assumptions, or emotional language unless it is explicitly mentioned in the factual data.

# Output

Section 1: “Missing in RootsMagic” – bullet list, each bullet naming the event, date, place, and Zotero item that supports it.

Section 2: “Conflicts to Resolve” – bullets that show the RootsMagic version vs. the Zotero version.

Section 3: “Suggested next steps” – up to 10 practical edits I could make in RootsMagic to bring it in line with my Zotero research log.

- Produce the output as Markdown.
- Limit the output to no more than 1000 words.

# Context

(the RM 11 Prompt Builder will insert your Primary person’s events (all), spouses, children, parents, siblings)

2. Use Zotero item to draft a RootsMagic source/citation

Use this when you have a single Zotero item (e.g., census, deed, book) and want help mapping fields into an RM11 template.

<prompt>

You are a professional genealogist and citation specialist.
First you will see a RootsMagic 11 person/event summary that shows which fact I am sourcing.
Then you will see a Zotero item for the record I used, with all bibliographic fields and my notes.
I plan to use the following RootsMagic 11 source template:

  • TEMPLATE NAME: “{insert RM11 template name, e.g., Census, online images}”.

Tasks:

  • Identify which Zotero fields map to each field in this RootsMagic 11 source template.

  • Draft:

    • A Master Source title for RootsMagic that clearly identifies the source.

    • Field‑by‑field values for the template (repository, call number, URL, etc.).

    • A citation detail tailored to the specific person/event (page, image number, line, dwelling, etc.).

  • Use clear US English, Evidence Explained‑style wording, but keep it concise enough to paste directly into RootsMagic.

  • Do not invent missing details; if a field is not present in Zotero, say “not given” and leave it blank for me to fill.

Output format:

  • Section 1: “Master Source – suggested values” with a bullet list: “RM field name: suggested text”.

  • Section 2: “Citation detail – suggested text”.

  • Section 3: “Notes to myself” – any cautions, ambiguities, or follow‑up checks.

3. AI extraction from Zotero‑linked image into RM11 event(s)

Adapt the AI extraction style people are using for newspaper clippings and other sources.youtube+1

<prompt>

You are a professional genealogist and forensic document analyzer.
I will provide:

  1. A RootsMagic 11 person summary (with existing events).

  2. A full transcript of a record (for example, a newspaper clipping, census page, or deed) whose image is stored and cited in Zotero.

Tasks:

  • Extract all genealogically relevant facts: names, relationships, dates, places, occupations, residences, land descriptions, and key identifiers.

  • For each fact, indicate whether RootsMagic already contains it and, if so, whether the wording or date/place differs.

  • Propose a list of new or updated RootsMagic events, formatted with:

    • Event type,

    • Date (normalized),

    • Place (standardized place name),

    • Short description,

    • Which persons in the record should receive the event.

  • Note ambiguities and conflicting evidence.

  • Do not hallucinate or fill gaps with assumptions; if the source is ambiguous, explain the ambiguity.

Output format:

  • Section 1: “Extracted facts” – bullet list, each bullet showing text snippet and normalized data.

  • Section 2: “Recommended RootsMagic events” – bullet list with event type, date, place, description, and linked person(s).

  • Section 3: “Conflicts / uncertainties” – bullets describing anything that needs human judgment.

# Context

(the RM 11 Prompt Builder will insert your Primary person’s events (all), spouses, children, parents, siblings)

This works well when your Zotero note contains a transcript or detailed abstract of the record.youtube+1

4. Life summary from RM11 plus Zotero‑based context

Use RM’s built‑in life summary features plus outside context from Zotero or other sources.

<prompt>

You are a narrative biographer and genealogist.
I will provide:

  1. A RootsMagic 11 generated life summary with events and relationships.

  2. Selected Zotero notes, quotations, and source comments that give social, religious, or local history context.

Tasks:

  • Write a coherent, historically informed life sketch of up to 1,200 words.

  • Use only facts supported by the provided RootsMagic summary and Zotero notes.

  • Weave in brief explanations of places, occupations, and historical events when helpful, based only on what I provide.

  • Maintain genealogical caution: clearly indicate uncertainty, conflicting evidence, or speculative connections.

  • Use a warm but factual tone suitable for a family history booklet.

Output:

  • Section 1: “Life summary” – narrative paragraphs.

  • Section 2: “Uncertainties and open questions” – bullet list of issues I may want to research further.

5. RM–Zotero sync checklist prompt

This gives you a reusable “audit” for a person.

<prompt>

You are a genealogy workflow auditor.
Using the RootsMagic 11 person summary below and a Zotero item list for this same person, create a concise checklist for keeping the two in sync.

Tasks:

  • Identify which events in RootsMagic appear to be unsupported or under‑documented compared to Zotero.

  • Identify which Zotero items appear not to have a corresponding event or source in RootsMagic.

  • Produce a practical checklist of actions (e.g., “Create death certificate source in RM using Zotero item X”, “Review conflicting birth dates between item Y and RM”).

  • Keep the checklist under 30 items, grouped by priority (High / Medium / Low).

Output:

  • Section 1: “High priority”

  • Section 2: “Medium priority”

  • Section 3: “Low priority”

These example prompts match what has already been demonstrated in videos comparing RM11 and Zotero research logs and sources.[youtube]youtube+1
